I & J Management Services – Privacy Statement

I & J Management Services (IJMS) is a small consulting firm with two permanent staff based in Sunbury, Victoria. Since establishment in 1998 we have provided high quality consulting services in the areas of:

  • strategic planning and business analysis

  • program evaluation and review

  • statistical analysis (including development and delivery of community surveys).

 We work exclusively for clients in the public library sector.

What information do we collect?

When IJMS conducts community surveys for public libraries these surveys ask respondents about:

  • their use of public libraries

  • their satisfaction with public libraries and the value of the library to their community

  • base demographic information (that is, age, gender, home language, home suburb).

Individual respondent’s names and contact details (e.g. phone number, email) are ONLY collected if requested by the client (library service) to support direct follow-up of feedback and/or participation in a prize draw.

IJMS does NOT collect health or other sensitive information.

How we handle personal information

IJMS handles personal information in accordance with the Privacy and Data Protection Act 2014 (Vic).

We work with each client to ensure that we only collect the minimum amount of information required to understand customer feedback. All surveys are voluntary. No library user or respondent is required to complete a survey.

Surveys include statements that explain what information is being collected, the reasons for collection, and whether questions are voluntary or mandatory. No questions that capture personal and/or contact information are mandatory.

Survey information is analysed and reported back to clients in aggregate form. No individual respondent details are included in survey reports.

Upon completion of a survey each client receives an Excel spreadsheet that includes all response data provided by respondents. Where names and contact details are collected for the purpose of client follow up this information is included in the respondent dataset. Where names and contact details are collected only for the purpose of a prize draw: a) the draw is undertaken by IJMS and names and contact details of winners are provided to the client: and b) the names and contact details of respondents are NOT included in the respondent dataset.

All information collected by IJMS is stored securely on our data system and backed up periodically. Data is held for a period of seven (7) years prior to disposal.
